Quick Start

  1. Download the WTF app from the App Store or Google Play
  2. Create an account with your email address
  3. Tap the blue + button to add your first item
  4. Take a photo of the item or upload from your camera roll
  5. Our AI will identify it automatically and extract details!
  6. Review, edit if needed, and save the details

Email-to-Inventory

One of WTF's most powerful features is the ability to add items by simply forwarding emails or sending photos via email. This is perfect for receipts, online purchase confirmations, or quick captures when you're on the go.

How It Works

Send your receipt photos or purchase confirmations to:

receipts@receipts.wherethef.wtf

Important: You must send from the email address registered with your WTF account. The system identifies you by your FROM address, so make sure you're sending from your account email.

What You Can Send

  • Receipt Photos: Take a photo of a paper receipt and email it as an attachment
  • Online Receipts: Forward purchase confirmation emails (with receipt images)
  • Item Photos: Email photos of items you want to catalog
  • Multiple Items: Attach multiple photos to one email to process several items at once

Email Commands

Include these commands in your email body or subject line to control how items are processed:

#ALL

Process all items on the receipt (default behavior)

#ITEM SKU:12345

Only add the specific item with SKU 12345

#ITEM LINE:3

Only add the item on line 3 of the receipt

#LOCATION Kitchen

Assign all processed items to the "Kitchen" location

#CATEGORY Electronics

Set category to "Electronics" for all processed items

Example: Send an email with "#LOCATION Garage #CATEGORY Tools" in the subject to automatically assign location and category to all items.

What Happens Next

  1. Our AI processes the email and any attachments
  2. Receipt details are extracted (vendor, date, items, prices)
  3. Commands are applied (location, category, specific items)
  4. New items appear in your inventory within seconds
  5. You receive a confirmation email with a summary of processed items
  6. Review and edit items in the app if needed

💡 Pro Tip

Set up a filter in your email client to automatically forward purchase confirmations from retailers to receipts@receipts.wherethef.wtf. This creates an automatic backup of all your purchases!

⚠️ Remember

Always send from your registered account email address. Emails from unrecognized addresses will be rejected with a notification explaining the issue.

Creating an Account

Sign up with just your email address. No social media login required. We respect your privacy and will never share your information.

Subscription Plans

Data Export & Backup

Access the export feature from the app menu:

  1. Open the menu (☰ icon)
  2. Tap "Export Inventory"
  3. Choose CSV format
  4. Download or email the file to yourself

💡 We recommend exporting your inventory monthly for backup purposes.

Deleting Your Account

If you need to delete your account:

  1. Export your data first (it will be permanently deleted)
  2. Go to Settings → Account → Delete Account
  3. Confirm deletion
  4. All data will be removed within 30 days

Receipt Scanning

Our AI can extract detailed information from receipt images:

  • Store name and location
  • Purchase date

💡 For best results, photograph receipts on a flat surface with good lighting.

Batch Operations

Manage multiple items at once:

  • Select multiple items to change their location
  • Bulk update status (e.g., mark all items as "In Storage")
  • Delete multiple items at once
  • Export filtered subsets of your inventory

Insurance Documentation

Create professional insurance reports:

  1. Filter items by location or category
  2. Mark items as "Insured"
  3. Export to CSV with photos
  4. Include purchase dates, values, and receipts
  5. Share directly with insurance providers

Moving & Relocation

Use WTF to simplify your move:

  • Create locations for each box or moving container
  • Assign items to boxes as you pack
  • Export a packing list for movers
  • Update locations at your new home
  • Verify nothing was lost during the move

How to Use

Adding Items

  1. Tap the + button in the header
  2. Allow camera access when prompted
  3. Take a clear photo of the item
  4. AI will analyze and identify the item (takes a few seconds)
  5. Review the identified details
  6. Tap "Edit" to add more information:
    • Assign to a location
    • Add purchase details (date, price, store)
    • Upload receipt photo
    • Set quantity
    • Mark as insured
    • Update status (Active, Lost/Stolen, Damaged, Sold)
  7. Tap "Save" to save your changes

Managing Locations

  1. Open the menu (☰ icon)
  2. Tap "Add New Location"
  3. Enter location name (e.g., "Garage", "Storage Unit #5")
  4. Optionally add GPS coordinates for auto-matching
  5. Add an address or description
  6. Save the location

💡 Tip: If you enable location services, items photographed near a saved location will be automatically assigned to it!

Searching & Filtering

  • Use the search bar to find items by any keyword
  • Filter by category using the category chips
  • Combine search and category filters for precise results
  • Toggle between grid and compact view using the arrow button

Editing Items

  1. Tap any item to view details
  2. Tap the "Edit" button
  3. Update any fields
  4. Tap "Save" to save changes

Deleting Items

  1. Tap the item to open details
  2. Tap "Delete"
  3. Confirm deletion

Tips & Best Practices

📷 Take Clear Photos

For best AI recognition, photograph items with good lighting against a plain background. Include any visible branding or model numbers.

📝 Add Purchase Details

Recording purchase information and receipts helps with insurance claims, warranties, and resale value tracking.

🏷️ Use Categories Consistently

Stick to standard categories (Electronics, Furniture, Tools, Clothing, etc.) to make searching easier.

📍 Set Up Locations First

Create your locations before adding items, especially if using GPS auto-matching.

🔒 Mark Valuable Items

For high-value items, add serial numbers and mark as "Insured" for easy reference during insurance claims.

Frequently Asked Questions

How accurate is the AI recognition?

Our AI is powered by OpenAI and is trained on millions of products, achieving high accuracy for common items. It can identify brands, models, and extract details from receipts. You can always review and edit the details if needed.

Is my data secure and private?

Absolutely! All data is encrypted in transit (HTTPS/SSL) and at rest. Photos are securely stored on Cloudinary. We never share, sell, or use your data for advertising. Only you can access your inventory. See our Privacy Policy for full details.

Can I export my inventory?

Yes! Use the "Export to CSV" option in the app menu to download a complete spreadsheet of your inventory including all details, photos, and receipts. Perfect for insurance claims, backup, or sharing with family.

How many items can I add?

During the beta period, all users can add unlimited items. When we launch paid plans, free accounts will have generous limits, and premium accounts will have unlimited items.

Does it work offline?

You can view your inventory offline, but AI recognition and syncing require an internet connection. Photos taken offline will be processed once you're back online.

Can I share my inventory with family?

Family sharing is coming soon! This will allow you to share specific locations or your entire inventory with trusted family members.

What if I lose my phone?

All your data is stored in the cloud and syncs across devices. Just log in on a new device or use the web app at wherethef.wtf to access your inventory.

How does email-to-inventory work?

Send receipt photos or purchase confirmations to receipts@receipts.wherethef.wtf from your registered account email. Our AI processes them and automatically adds items to your inventory. You can use commands like #LOCATION and #CATEGORY to organize items. See the Email-to-Inventory section above for all available commands and detailed instructions.

Can I use this for my business?

WTF is designed for personal inventory management. For business asset tracking, contact us at support@wherethef.wtf to discuss enterprise options.

What file formats can I export?

Currently we support CSV export, which can be opened in Excel, Google Sheets, Numbers, and most spreadsheet applications. PDF export is coming soon.

Troubleshooting

AI recognition isn't working

  • Check your internet connection
  • Make sure the photo is clear and well-lit
  • Try photographing the item from a different angle
  • Ensure the item label or branding is visible
  • If it still doesn't work, you can manually enter details

Photos won't upload

  • Check your internet connection
  • Make sure you've granted camera/photo permissions
  • Try reducing the photo size if it's very large
  • Close and reopen the app
  • Contact support if the issue persists

Items not syncing across devices

  • Make sure you're logged into the same account
  • Check your internet connection on both devices
  • Pull down to refresh on the inventory screen
  • Log out and log back in

Email-to-inventory not working

  • Make sure you're sending TO: receipts@receipts.wherethef.wtf
  • Verify you're sending FROM your registered account email address
  • Check that attachments are images (JPG, PNG, HEIC, PDF)
  • Wait a few minutes - processing can take time for large receipts
  • Check your spam folder for confirmation or error emails
  • Make sure the email has at least one image attachment
  • If you get an error email, it will explain what went wrong

App crashes or freezes

  • Make sure you have the latest version of the app
  • Restart the app
  • Restart your device
  • Check for available device software updates
  • Clear app cache in Settings
  • Reinstall the app (your data is safe in the cloud)

On the login screen, tap "Forgot Password" and enter your email address. We'll send you a reset link. If you don't receive it, check your spam folder or contact support at support@wherethef.wtf
